Why Use AI for Administrative Tasks

<!-- /wp:heading -->

In addition to all the ways that AI tools can help with developing curricula discussed in the previous module, they can also make many other parts of a teacher’s job easier. Particularly, generative AI technologies are great at simplifying administrative tasks like drafting emails and policies, creating templates and outlines, tracking attendance, and more.

<!-- /wp:paragraph -->

The main benefit of enlisting the help of AI tools for completing administrative tasks is that it can save time on the work done outside the classroom, so you can focus on the work that happens inside the classroom. AI excels at simple, repetitive tasks and its vast database of information allows it to quickly draft various types of communication and paperwork.

Communication Tasks

<!-- /wp:heading -->

Let’s start with communications. Chatbots are great at drafting emails, reminders, announcements, requests, and policies. Chatbots work well for communication tasks because they can be prompted to take a particular tone, quickly personalize a message or announcement, and add all the necessary “fluff” to your message.

<!-- /wp:paragraph -->

Here are a few different examples of how you can use AI for drafting communications.

<!-- /wp:paragraph -->
  1. First, you can use it to draft mass emails to all your students or parents. For example, if you want to remind students about the due date of an assignment or announce an upcoming field trip to parents, you can input all the relevant details into a chatbot and it will draft the message. You can also ask it to put together a message communicating the details of a class policy or draft a parent newsletter.
  2. <!-- /wp:list-item --> Second, you can use AI to draft personal messages. For example, if you need to address a behavioral issue or a violation of class policy, AI can help craft those more sensitive messages as well. These instances are also where you may want to ask AI to take a particular tone, so that your email conveys the required empathy and sensitivity. Similarly, AI can be used to draft messages providing individual feedback, congratulating a student on a job well done or suggesting next steps for improvement. You can also use AI’s help to respond to a particular request or question from a parent. By inputing the details of the request, a chatbot can help draft a customized response.
  3. <!-- /wp:list-item --> Third, you can enlist AI’s help with messages or requests to administration. For example, if you want to request permission to use a particular tool in your classroom, or suggest a new PD workshop, you can prompt a chatbot with the details of your request and it will draft a message with the appropriate details and tone. Be sure to include any particular concerns that you want the message to address. <!-- /wp:list-item -->

Like with other tasks that we’ve discussed in this course, the more details you input into the chatbot, the more useable the draft will be.

Paperwork and record-keeping tasks

<!-- /wp:heading -->

Other administrative tasks that AI can help make easier and less time-consuming include paperwork and record-keeping tasks. Some of the paperwork tasks that you can enlist AI’s help with include creating outlines, templates and proposals. It’s helpful for these types of tasks due to its vast database of information, its speed at completing repetitive tasks, and its ability to format outputs in tables and charts. Some examples include:

<!-- /wp:paragraph -->
  • Newsletters: if you send a monthly newsletter to parents, a chatbot can help create a reusable template where you can plug in dates and other details.
  • <!-- /wp:list-item --> Permission slips: you can input the relevant details of the trip and a chatbot can draft the slip for parents to sign.
  • <!-- /wp:list-item --> Forms: a chatbot can help create a standardized forms that can be used for things like class surveys and providing assignment feedback. <!-- /wp:list-item -->
<!-- /wp:list -->

Additionally, AI can help with record-keeping tasks like attendance and data tracking. Here are some helpful ideas you may want to try out:

<!-- /wp:paragraph -->
  • Creating a spreadsheet: chatbots can generate their outputs in table form and can also create tables and charts to help you track attendance, grades, or other data.
  • <!-- /wp:list-item --> System design: AI tools can help organize a tasks with many moving parts. For example, you can ask it to create a system for tracking parent-teacher communication with names, dates, topics discussed, and next steps.
  • <!-- /wp:list-item --> Templates: AI tools can help create templates for repeated record-keeping tasks. For example, you could prompt it to format a template for recording minutes at faculty meetings, including dates, attendees, topics discussed, and agreed-upon next steps. <!-- /wp:list-item -->

Writing Tasks

<!-- /wp:heading -->

You can use chatbots to help craft longer form writing as well. For example, they can help draft recommendation letters. You can input the relevant details about the student, like the context you know them from and which characteristics you want to highlight, and the chatbot will draft a letter that incorporates those details. Chatbots are also helpful at generating prose from an outline. So, if you have an outline of a letter, memo, or article, a chatbot can help you quickly turn your ideas into writing. Again, it’s unlikely the output will be perfect, but making a few edits takes a lot less time than writing a letter from scratch. It can also create a letter template that you can use to plug in the relevant details.

Conclusion

<!-- /wp:heading -->

An important note to end on: Many of the tasks mentioned in this lesson might involve using student’s personal information. To avoid violating student privacy and minimize data security risks, use placeholder names for students and schools if necessary and avoid sharing addresses or other identifying information.

In the next lesson we will dive deeper into one of the most time consuming administrative tasks: grading.
